Event Planning
When planning an event at the University of Denver, you’ll want to keep accessibility in mind. As a higher education institution, we comply with the American Disabilities Act and Section 504 of the Rehabilitation Act of 1973, and must ensure our activities and programs are accessible to anyone who wants to attend. Use the Disability Inclusive Meeting and Event Checklist to ensure that your event is accessible for all attendees.

Make Your Event Physically Accessible
Parking
Let your guests know where the nearest visitor or hourly parking lots will be. All DU parking lots have accessible parking spaces, and visitors will need to display their state-issued disability-parking permit to use these spaces.
Wheelchairs
Wheelchairs are only available for a short-term basis of 3 hour increments. They are available for guests and emergencies only. For guests who need wheelchairs, they are available to check out at the following locations:- Office of Admissions
- Campus safety (Open 24 Hours)
- Knoebel School of Hospitality
- Campus Conference & Events

For long term rentals, we recommend the local wheelchair rental companies listed below. These companies are not affiliated with DU and, as such, guests are responsible for arranging, paying for and picking up their rentals.
Each of these companies require that you call in advance to reserve a chair.

Make Your Event Materials Accessible
As the event organizer, be sure your event materials can be put in an alternate format upon request. Encourage guests who may need an interpreter, real-time captioning or additional audio device to contact you as soon as possible to arrange that accommodation.
Listening Devices
DU has a limited number of listening devices available for event use; you may request them by contacting the ADA Coordinator at 303-871-3941. -
Make Attendees Aware of Accessibility and Accommodations
In your marketing and communication materials to your guests, it can be helpful to include contact information should anyone need to request an accommodation, such as real-time captioning or audio devices. As an example:
For disability accommodations, please contact (event organizer) at (phone or email).
This text is not required for recurring meetings with a small number of individuals whom you already know do not need an accommodation.
Captioning Request
At times, you may find yourself in need of captioning to make live events or video or audio files accessible to DU students, employees or other guests.
For live captioning at events through Communication Access Real-Time Translation (CART), you must request captioning at least three days in advance.
For media files, you can have them captioned by using a DU-approved tool called Kaltura.
Post Production Captioning - Video File
Upload your video or audio file into DU Kaltura MediaSpace. Kaltura will automatically create closed captions and a downloadable transcript.
Kaltura may take up to 30 minutes to generate captions depending on the length of your video or audio file.
This method is easy, but captions are not 100 percent accurate because software voice recognition is not 100 percent accurate. To ensure the captions are correct, you can download and review the transcript. If you need to make edits, use this step-by-step guide to access and edit the closed captions.
